Job Description

We are seeking a highly organized, tech-savvy, and proactive Executive Assistant to support the CEO of a dynamic nonprofit organization. This role is primarily remote, but candidates must be based in Los Angeles to provide onsite support one day per week as needed.

The ideal candidate is experienced in working with high-level executives, thrives in a fast-paced environment, and can seamlessly manage complex scheduling, communication, and travel logistics with discretion and efficiency.

Key Responsibilities

  • Calendar & Scheduling Management: Oversee complex scheduling, prioritize meetings, and manage appointments with precision.
  • Email & Correspondence: Handle a high-volume inbox, draft and proofread communications, and ensure timely follow-ups.
  • Travel Coordination: Arrange and manage travel logistics, including airport transfers, reservations, itineraries, and excursions.
  • Contact & CRM Management: Maintain and organize key contacts, ensuring seamless communication and relationship management within the CRM system.
  • Technology & Productivity: Utilize G Suite, Slack, and other digital tools to enhance efficiency and streamline workflows.
  • Adaptability & Multitasking: Proactively manage shifting priorities, juggle multiple tasks, and anticipate executive needs in a fast-paced environment.

Qualifications

  • 5+ years of experience as an Executive Assistant in a demanding, high-level environment (more experience preferred).
  • Prior experience supporting high-net-worth individuals (HNWI) is highly desirable.
  • Strong CRM management experience.
  • Proven ability to prioritize, multitask, and pivot quickly while maintaining accuracy and efficiency.
  • High proficiency in G Suite, Slack, and other digital productivity tools .
  • Exceptional written and verbal communication skills with strong attention to detail.
  • Highly organized, proactive, and resourceful , with the ability to work independently.
  • Ability to handle confidential information with discretion and professionalism.

Compensation: $40/hr
